Yes — the system is built for SMBs from day one. Whether you're a solo broker, run a small office with 3 people or coordinate 50+ employees as a property manager — the same setup scales with you. Instead of per-user licensing we work with a flat-rate model: your price depends on the feature scope, not the headcount. Rollout is step by step, you don't pay for modules you don't use.
Do I need IT training or can my team use this right away? +
No IT degree needed. The interface runs in the web browser, is clearly structured and follows the logic of a broker's day (create property, assign prospect, book appointment). Most teams are productive after 1–2 hours of onboarding. At launch there's a short onboarding video plus a live training via screen sharing — after that, questions typically come in via email/WhatsApp.
Does it also work on the road on the smartphone? +
Fully mobile-ready. You take a photo at the viewing, upload it straight to the property, reply to an inquiry from the car — all from the phone. Either as a web app in the browser or a native iOS/Android app. With poor reception many things work offline (notes, photos, measurements); sync runs automatically once you're back online.
How do my existing properties and contacts get into the system? +
Excel import is standard. We migrate property lists, prospects and owners from Excel and CSV files as well as from exports of common predecessor software (onOffice, FlowFact, ImmoOpen). Images are migrated at full resolution. For larger datasets or messy lists we accompany the migration personally — check duplicates, standardize addresses, fill in missing mandatory fields.
How is my data protected? GDPR-compliant? +
Servers are located in Germany — Hetzner Falkenstein, ISO 27001-certified, no US cloud, no data transfer to third countries. The connection is encrypted with TLS 1.3, data at rest with AES-256. You get the Data Processing Agreement (DPA) under Art. 28 GDPR as standard at setup. Tenant data and credit reports run with a deletion concept per Art. 17 GDPR.
How does the online exposé with its own URL work? +
Each property gets its own readable web address — for example your-domain.com/properties/3-room-cologne-suelz. You can send it via WhatsApp, email or QR code straight to prospects, no PDF attachment needed. The page contains photos, floor plan, energy certificate and an inquiry form. For a rented property you simply set the URL to "not public" — the link stays accessible to prospects with a password.
How can prospects book viewing appointments directly? +
Online calendar right on the exposé. You set viewing slots (e.g. Wednesday 5–7pm, Saturday 10–12), prospects pick a free time and get an automatic confirmation by email + SMS reminder the day before. You see all registrations in the CRM, can run group viewings or individual slots. No-shows drop measurably.
How long does setup take? +
Base package live in 2–3 weeks (CRM + property database + exposé URLs). Full industry package including online appointment, OpenImmo sync and optional prospect portal: 4–8 weeks. We recommend stepwise rollout — first cleanly set up master data and CRM, then website with exposés, then appointment booking and portal sync. That way your team learns step by step instead of all at once.
