Excel lists go stale on day one
You keep stock in Excel or a binder — Monday it's right, Friday reality is 20–40 items off. Nobody writes down every use. Stocktake becomes a nightmare.
2–4 hrs effort / weekEvery item scanned, every delivery booked, every sale auto-deducted. At low stock: alert + order suggestion. Cuts shrinkage by up to 30% and stops both stock-outs and expensive over-ordering — without anyone maintaining Excel lists in the evening.
Goods in: open the box, scan the barcode, enter quantity — done. Sale or withdrawal: book by scan or click in the dashboard. Use in the kitchen: deducted from the recipe. At minimum stock: SMS or email to you, with an order suggestion based on the last 30 days of usage.
No more Excel lists, no Sunday-night stocktake, no nasty surprise when the next delivery arrives.

Four problems every retailer, restaurateur and tradesperson knows — that disappear entirely with a digital stock system.
You keep stock in Excel or a binder — Monday it's right, Friday reality is 20–40 items off. Nobody writes down every use. Stocktake becomes a nightmare.
2–4 hrs effort / weekThe customer is standing there, the item is just gone, you didn't notice. Lost sale, awkward explanation, sometimes a lost customer. In workshops: a job sits for three days because material is missing.
Losses: significant monthly revenueStaff „take some", customers steal, breakage on delivery, expiry in the corner. Without real-time stock you only spot it at year-end — when significant inventory value is simply „gone".
2–8% shrinkage p.a.Without usage data you order by gut feel: too much = capital tied up, expiry ticking, cash flow stalls. Too little = stock-outs, sold-out signs, lost margins. Both cost money daily.
5–15% dead stockSet up once, then the stock system scans itself — from goods in to order template.
We import your existing item list (Excel, CSV or from the old system). Each item gets: name, barcode, purchase price, selling price, min stock, supplier. One-time effort — then it maintains itself.
Delivery arrives: scan the barcode on the box (smartphone or scanner gun), enter quantity or count by scan — done. The system books stock up immediately, the delivery note can be attached as a photo.
Use in the kitchen (via recipe quantities), material booking in the workshop by scan or click, withdrawal from the warehouse by barcode — auto-deducted from stock. Real time, no one has to type anything into Excel.
When an item hits its minimum: SMS or email to you. With an order suggestion based on the last 30 days of usage. On approval: PDF order goes directly to the supplier by mail.
One dashboard in the back-office, a scanner app on every phone — no more tools needed.

All items at a glance — sorted by remaining stock, color-coded „critical", „running out", „okay". Click an item for a 30-day history. In one click: generate an order suggestion and send it as PDF to the supplier.

Smartphone as barcode scanner — the camera is enough. Goods in, stocktake mode, transfer between locations, expiry capture. Offline-capable: works in the basement without WiFi and syncs as soon as it's back.
Standard included. Extensions possible: wholesaler API integration, ABC analysis, seasonal forecasting.
EAN-13, EAN-8, QR, Code-128, Code-39 — all common codes. Via smartphone camera or Bluetooth gun. Print custom codes for items without a manufacturer barcode (receipts, labels).
Per-item minimum stock you can define. When it drops below: SMS or email to you (or several recipients). With order suggestion based on usage over the last 7 / 14 / 30 days.
The system calculates daily: „At current usage this stock lasts 4 more days." Recommendation is auto-sent as a PDF order to the stored supplier — on request only after your approval.
Several branches, warehouses, kitchens? Each location has its own stock. Transfer with a scan: box from location A to B — done. Overview shows where each item is and how often.
For food, medicine, cosmetics: capture per batch with expiry date. Alert 7 days before expiry. FEFO principle (First Expired, First Out) handled automatically.
Every booking logged gaplessly: who, when, how much, where to/from. Delivery note attachable as photo. On differences (box says 24 pcs, actually 23): claim hint automatic.
Store recipes with ingredient quantities — every prepared portion auto-deducts ingredients from stock. No writing down, no forgotten update. Also works for material BOMs in the workshop.
Full or spot stocktake via smartphone. Several staff scan in parallel without getting in each other's way. Variance report at the end: what matches, what doesn't — and how much shrinkage per product group.
Which items run badly? Which are bestsellers? Stock value in euros for your overview. Usage per weekday. Supplier comparison (price vs. delivery reliability). Export as CSV, Excel or PDF — use internally or forward.
Anywhere stock moves — from the workshop screw to the frozen goods in the kitchen.
