Pain points

What phone-only bookings cost you every day.

Four problems every hairdresser, therapist or garage owner knows — and that an online booking system makes go away completely.

Phone rings during the appointment

You're mid-appointment — and the phone rings. Either you pick up (customer in the chair waiting) or you ignore it (potential booking lost). 15–20 times a day.

Losses: 1–2 staff hours / day

No-shows cost revenue every day

Hairdressers often have no-show rates of 10–15%, therapy practices similar. For every appointment you lose the full treatment revenue — and a staff member is still standing around.

Losses: significant monthly revenue

Double bookings & Excel chaos

You have 3 staff members, each with their own Excel calendar or notebook. Who booked what, when? Double bookings follow — and awkward conversations with the customer.

1–3 double bookings / week

Bookings only during business hours

Working customers want to book in the evening, on weekends or during lunch. If that's only by phone during business hours — they give up and go to a competitor with online booking.

30–40% of inquiries lost
How it works

Four steps to the booking.

Three for the customer, one automatic — and you no longer need to pick up the phone.

1

Pick a service

The customer lands on your booking page. Picks from your service catalog: "Women's cut" or "Toning" or "Full coloring" — duration and price visible.

2

Staff & time

Picks a staff member (or "any, soonest slot") and sees every free slot for the next 4 weeks — breaks, sick days, vacation automatically blocked.

3

Details + confirmation

Name, email, phone. If you want: optional deposit via Stripe/PayPal as a safety net. Confirmation email with ICS attachment — the customer drops the appointment straight into their calendar.

4

SMS reminder

24 hours before the appointment: automatic SMS with date, time, service and option to reply ("YES" or "CANCEL"). No-shows drop by 60–80%.

In action

Here's what it really looks like.

One screen for the staff calendar, one SMS on the phone — that's all it takes.

Staff calendar with daily overview — color-coded appointments per stylist
In the back office

Calendar · per staff · per day

You see every appointment at a glance — color-coded per staff member. Drag & drop to reschedule, click blocks for lunch and sick days. Sync to staff phones via iCal.

SMS reminder on phone — 24 hours before appointment with reply option
On the customer side

SMS 24h before · reply possible · reschedule in one click

The SMS arrives at the right time (you choose: 24h, 12h, 2h). With date, time, staff, service. Replying "CANCEL" is enough — the appointment is auto-released, the slot goes back online.

What's included

Nine building blocks for the booking system.

Standard. Extensions possible: treatment history, intake forms, loyalty cards, etc.

Online booking 24/7

Your booking page is always open — at night, on weekends, on holidays. The customer picks from the available slots you define in the back office.

Staff selection

Regulars can pick "their" person, others get auto-assigned to the soonest free staff member. Skill filter possible: "Coloring only with Maria or Lisa".

Service catalog with duration

Every service has its own duration (15 / 30 / 60 / 90 min) and price. The system calculates automatically: a 90-min appointment needs 90 free minutes, no half-hour hopping.

SMS reminder 24h before

Configurable: 24h / 12h / 2h before. Includes "YES"/"CANCEL" reply option. Cuts no-shows by 60–80% according to industry studies.

Email confirmation with ICS

Right after booking: email with appointment details and ICS attachment. One click — the appointment lands in iCal, Google Cal, Outlook. Calendar reminders the day before automatic.

iCal sync for staff

Every staff member gets a private iCal link. Appointments appear automatically in their personal phone calendar — even when they aren't logged in.

Breaks, lunch & blocks

Daily lunch break 12:00–13:00? Sick on Thursday? Vacation next week? One click and it's blocked — the system never even offers those slots.

Cancel & reschedule

Customers can cancel or reschedule themselves — up to X hours before (you choose). Within that window: phone only. Cancelled slots are released back online immediately.

Waiting list

Fully booked? The customer adds themselves to the waiting list. When a slot frees up: automatic SMS to the first 3 on the list. First click wins.

For which industries

Appointment booking runs in 4 industries.

Wherever customers need an appointment up front — from hairdresser to auto repair.

Frequently asked

What businesses ask most often.

Does this work with Google Calendar / iCal / Outlook? +
Yes. Every staff member gets a personal iCal link they subscribe to in Google Calendar, iCal (iPhone/Mac) or Outlook. Appointments then appear automatically in their personal calendar — no extra login. Updates and cancellations sync every few minutes.
Can I add buffer time between appointments? +
Yes — as a global buffer per service or per staff member. Example: after every "coloring" auto-add 15 min buffer for cleanup. Or for one specific staff member, 10 min between every appointment as a rule. Buffers are not shown as "free slots" to the customer.
We have 3 locations and 8 staff — does that work? +
Yes, no problem. We set up multi-location booking: the customer picks the location first, then the service, then the staff member. Each location has its own opening hours and its own staff team. In the back office you see all locations at a glance — or filter to one.
What happens when a customer cancels? +
Immediately back online. If the customer cancels in time (you define the cutoff, e.g. 12h before), the slot is auto-released and shows up as bookable again. For late cancellations you can require a phone call — and optionally charge a cancellation fee (configurable with Stripe charge).
What does appointment booking cost? +
Fixed price from the concept phase — no per-appointment monthly subscriptions. The exact price depends on scope (number of staff, services, locations, optional SMS reminders). One thing is extra: SMS provider costs (~5–9 cents per SMS) — those go directly to the SMS provider, not to us. In the intro call we give you an honest range.
Can customers pay a deposit? +
Yes — optional per service. Example: for "full coloring" (3h appointment) a 30% deposit is automatically required, charged via Stripe or PayPal. For "cut" (30 min) no deposit. Cuts no-shows even more dramatically — anyone who's already put money down is much more likely to show up.
Can this be integrated into our existing website? +
Yes, several ways: (1) A dedicated page (e.g. yourdomain.com/booking) with your branding. (2) As an iframe widget embedded in any existing page. (3) As a "Book appointment" button that opens a popup. If you don't have a website yet, we build it in the same go (see the Order Dashboard page for the Website module).
