Shifts in minutes, not hours.

Done with Excel sheets, WhatsApp chaos and late-night phone calls. Drag-&-drop shift planner, mobile app for every staff member, time clock and automatic payroll export as CSV or PDF — all compliant with the German Working Time Act and Minimum Wage Act.

One click — plan is set. Staff know what's up.

For many businesses, shift planning is the biggest time-sink after bookkeeping. Excel sheets get passed around via email or WhatsApp, changes slip through the cracks, and a Sunday-evening sick report turns into a round of chaotic phone calls.

With AnvaCode, you plan shifts via drag & drop in the browser. Staff see their shift in the app, report sick or request vacation directly, ask for a swap — everything is logged automatically. Bonus pay is calculated correctly to your collective agreement, and the monthly export goes straight to your accountant.

Pain points

Where shift planning tears every business apart.

Four problems that are guaranteed to hit with Excel- or paper-based planning — and cost money, nerves and staff.

Excel chaos & double shifts

One spreadsheet, three versions by email, changes in the wrong file. Employee A thinks they're on early shift, employee B thinks the same — both turn up in the morning. Or worse: nobody does.

Loss: 4–8 hrs planning time / week

Sick report at 5:30 a.m.

Your phone buzzes on Sunday night: two people sick. You call 12 staff in a row, every other person doesn't pick up. Worst case: you're behind the counter yourself.

Loss: 1–3 hrs phone time / week

Overtime — nobody knows how much

Without a clean time-account overview, overtime in shift-based businesses creeps up unnoticed. At year end, the employee shows up with 62 unpaid hours — an argument is guaranteed.

Loss: noticeable back-payment

Payroll & bonuses by hand

Sunday bonus 50%, holiday 125%, night shift 25%. You type hours into an Excel sheet, add bonuses manually, email it to the accountant. Every typo = wrong wage.

Loss: 2–4 hrs + error rate
How it works

Four steps from Excel to autopilot.

From staff onboarding to the monthly payroll export — one end-to-end process.

1

Create staff & roles

We set up staff with contract hours, qualifications (e.g. "counter", "till", "warehouse"), hourly wage and availability. Who can do what — and when?

2

Shifts via drag & drop

You drag staff onto shift slots in the weekly calendar. The system warns instantly on conflicts (rest-time breach, double booking, missing qualification). Templates for standard weeks.

3

Staff app notifies everyone

Once the plan is set: push notification to all. Each person sees their shift in the app, can request a swap, report sick or request vacation — you approve with one click.

4

Clock-in + payroll export

Staff clock in via app or tablet when arriving/leaving. At month end you're done: hours, bonuses, overtime — as CSV or PDF straight to your accountant.

In action

What it looks like in practice.

Back office for the planner and a mobile app for every staff member — same database, synced in real time.

Weekly plan view — drag-&-drop of staff onto shift slots, with conflict warnings
In the back office

Build the week · spot conflicts · copy templates

Weekly calendar with all shifts, staff color-coded. Conflicts (rest time, double booking) are highlighted in red before you save. You can build a "standard week" template once and copy it into following weeks — only adjusting for sick days and vacations.

Mobile app for staff — shift view, swap request, sick report and clock-in button
Staff app

View shift · swap · clock in — all from your pocket

Every staff member has an iOS or Android app. They see their schedule, can request a swap (goes to colleagues with the right qualification), report sick with one tap, or clock in/out when arriving/leaving. As the boss, you get a push notification and approve with your thumb.

What's inside

Nine building blocks for staff management.

Included by default. Optional: on-site time-recording terminal, personnel file with document upload, shift wish system.

Drag-&-drop shift planner

Weekly and monthly view. Drag staff onto slots, copy entire weeks, plan rotations ("week A / week B"). Instant validation on rule breaches.

Mobile app (iOS & Android)

Native apps for every staff member. View shifts, request swaps, report sick, request vacation, clock in. Push notifications for plan changes.

Automatic swap requests

Employee A can't make it? Tap "Swap" — the system sends requests to colleagues with matching qualifications. On a match: you approve, done.

Sick reports & vacation

Staff report sick via app — you're notified instantly and see available cover. Vacation is offset against remaining days, approval with one click.

Time clock (app + web)

Staff clock in/out via app or tablet on site. Geo-fence option (clock-in only on premises). Breaks are recorded automatically and deducted per ArbZG.

Overtime account

Per-employee time account: target vs. actual, overtime balance, remaining vacation. Staff see it themselves in the app — year-end arguments are over.

CSV & PDF payroll export

Monthly export of all clock-in times, bonuses and overtime as CSV (for any standard payroll or accounting software) or as a clean PDF. Your accountant gets a ready-made file — no more typing.

Shift templates

Save standard weeks as templates once. "Summer", "Winter", "Peak hours" — activated in 2 clicks. Saves 80% of weekly planning time, because you only adjust the deviations.

Pay-scale & bonus rules

Sunday, holiday, night, overtime — bonuses are calculated automatically by your rules (% or fixed amount). Minimum-wage check built in per shift.

For which industries

Shift planning runs particularly intensively in 4 industries.

Anywhere shift work happens, multiple staff are coordinated and pay-scale bonuses kick in.

Frequently asked questions

What businesses ask most often.

What sets you apart from other shift-planning tools? +
Three clear differences: (1) No per-user licence — our system charges per business, not per employee. Whether you run 5, 25 or 80 staff — you don't pay twice when you grow. (2) ArbZG validation from day one — rest periods, breaks and minimum wage are checked on every shift assignment, not first at the accountant's. (3) Real integration with the other AnvaCode modules (time clock, CRM, payroll export) — one data base instead of five tools. You'll get the right scope and a transparent fixed-price quote after the free initial call — depending on module scope and business size.
Is this legally compliant — ArbZG, minimum wage, breaks? +
Yes. The system validates every shift assignment against the German Working Time Act (ArbZG): max 10 hrs/day, 48 hrs/week on average, at least 11 hrs rest between shifts, Sunday rules. Breaks are deducted automatically per §4 ArbZG (30 min from 6 hrs, 45 min from 9 hrs). Minimum Wage Act: the hourly wage is stored per employee — the system warns when a planned assignment would fall below the statutory minimum wage (as of 2026). We tailor the rules to your country + industry.
How does the payroll export work? +
At month end you click "Create export" — the system bundles all clock-in times, bonuses and overtime and exports them as a CSV file or a clean PDF. The CSV file can be imported into any standard payroll or accounting software. Your accountant gets the file by email or shared straight from the system — no more manual transfer, no typos.
Can staff swap shifts themselves? +
Yes, but only with your approval. Employee A taps "Swap" in the app, the system sends requests to all colleagues with the right qualification and availability. On a match, you as the boss get notified and have to approve with one click — no one can swap behind your back. You can also configure: "Routine swaps between equally qualified colleagues are auto-approved, everything else needs confirmation."
Multiple locations / branches — does that work? +
Yes — own plan per location, own staff, own shift templates. Staff can be assigned across locations (e.g. "jumps in at branch 2 when someone is missing"). Reports can be pulled per location or consolidated. For 3+ locations there's a volume discount (we'll work that out individually). The staff app automatically shows the right plan depending on the location assignment.
What exactly happens when someone reports sick? +
Employee A opens the app, taps "Report sick". Instantly: (1) push notification to you as the boss, (2) their planned shifts are marked orange in the plan (open), (3) the system automatically sends cover requests to all colleagues with matching qualification and availability, (4) the first to say yes gets the shift — again with your approval. Optional: medical certificate as a photo upload directly in the app. Sick days are counted automatically in the yearly stats.
Does this work without other modules — standalone? +
Yes. Shift planning is a fully standalone module — you can use it without the order dashboard, appointment booking or other AnvaCode modules. In combination it's even stronger of course: with the appointment booking, staff see their appointments directly in the shift view. With the order dashboard, the system can suggest based on order history how many staff you actually need on which weekday. But on its own it already fully replaces Excel + WhatsApp.
