Sites, tours, staff — all in one view.

Cleaning jobs often run chaotically: dispatch via WhatsApp, time stamps on paper, "was it cleaned?" arguments with the customer. With AnvaCode you have every site, every tour, every employee live in the system. On arrival the employee scans the QR code, on leaving the same — time stamp done, photo log uploaded as proof.

We don't build a generic cleaning tool, but custom-built for your business — whether 3-person caretaker service or 50-employee building cleaning. BIV tariff & minimum wage compliance, DATEV export for the accountant, defect web form for customers.

Typical problems

What costs cleaning businesses hours every day.

Four problems almost every building cleaner, caretaker and winter service provider knows — and which have field-tested solutions long since available.

Tour planning via WhatsApp

You chase staff via WhatsApp — "Where are you?", "When done?". Dead zones, forgotten message, wrong schedule. With 8 employees at different sites = 2–4 hours dispatch daily.

Loss: 2–4 hrs dispatch / day

"Was it even cleaned?" — customer dispute

Customer claims the office wasn't cleaned. Without photo log and QR check-in it's word against word. Result: give discount or lose customer. With docs: 30-second proof.

Loss: 5–10 % discounts / month

Time stamps on paper lists

Employee notes "6:30–9:00 site Schmidt" on a slip, hands it in Friday, you type it into Excel. With 10 employees: 3–5 hours per week. Plus typos, plus lost slips.

Loss: 3–6 hrs entry / week

Job intake & quote takes days

Inquiry by email: "How much for end-of-tenancy cleaning of 70 m²?". You have to drive there, calculate, mail back, follow-ups — 4–7 days to the job. Online inquiry with m² calculator: 15 min and the quote is out.

Loss: 30–50 % inquiries gone

Recommended modules

These modules fit cleaning businesses.

Most start with tour planning + employee app. Extension is possible anytime, without data migration.

In action

What it looks like in the cleaning workflow.

Tour plan in HQ and employee app on site — both from the same system, in real-time sync.

Tour plan — day map with all sites, staff assignment, optimized routes, live status
In dispatch

Sites · tours · assign staff — all on one map

You see all today's sites as map pins, assign staff by drag-&-drop. The system optimizes the order via Google Maps — shortest route. Live status: who's checked in (green), who's still en route (yellow), who's not there yet (red). Click on a site shows access codes, floor plan, last photo log, defect history.

Employee app — scan QR on site, task list, photo log, clock in, signature
In the employee app

Scan QR · tick off tasks · photo log · clock in

Employee arrives at the site, scans the QR code on the door — automatically clocked in, GPS verification. App shows task list ("kitchen, baths, office 1+2 wipe"), employee ticks off, takes before/after photos. Before leaving: scan QR again → clocked out, all data at HQ. The photo log is the proof on customer complaints.

Frequent questions

What cleaning businesses ask most.

Is this worthwhile for my small cleaning business? +
Yes — built for small and mid-sized businesses in particular. Whether you're a sole proprietor with 3 cleaners on the road, run a caretaker service company with 15 people or lead a building cleaning firm with 50+ employees — the same setup scales with you. Instead of per-user licensing we work with a flat-rate model, the price depends on the feature scope. You don't pay for modules you don't need.
Do I need IT training or can my team use this right away? +
No IT degree needed. The interface runs in the web browser, the employee app on the phone is reduced to the essentials: scan QR, take a photo, report done. The backoffice team is productive after 1–2 hours of onboarding, cleaners after 10 minutes. At launch there's a short onboarding video plus a live training via screen sharing.
Does it also work on the road on the smartphone? +
Fully mobile-ready — that's actually the main use case here. Cleaners work primarily via the smartphone app: QR check-in on site, photo log, time stamps. Backoffice runs on a computer or tablet. Either as a web app in the browser or native iOS/Android app. With poor reception the app works offline — sync runs automatically once you're back online.
How do my existing customers and sites get into the system? +
Excel import is standard. We migrate customer lists, site addresses, cleaning intervals and staff master data from Excel and CSV files as well as from exports of common predecessor software. For larger datasets we accompany the migration personally — check duplicates, standardize addresses, set up tour clusters cleanly.
How is my data protected? GDPR-compliant? +
Servers are located in Germany — Hetzner Falkenstein, ISO 27001-certified, no US cloud. Connection encrypted with TLS 1.3, data at rest with AES-256. You get the DPA under Art. 28 GDPR as standard at setup. Access codes for customer sites are additionally encrypted, photo log access-restricted per job.
How does the QR check-in on site work? +
Sticker on the door + smartphone — done. For each site you get a small QR sticker (e.g. next to the entrance door or meter). The cleaner scans on site, the time stamp is automatically set — incl. GPS verification, so it can't be "remote clocked in". Ends the classic "was it really cleaned?" dispute with the customer because you can prove every deployment without gaps.
How does the photo log per job work? +
Before/after photo directly from the app. Cleaner opens the job, takes two smartphone photos (before, after), they land automatically in the backoffice and at the job. On complaints you have proof ready; on special jobs (end-of-tenancy, glass cleaning) it's a strong trust argument with customers. No people in the pictures, photos are automatically deleted after the retention period.
How long does setup take? +
Base package live in 2–3 weeks (customer & site DB + employee app with QR check-in). Full cleaning package including photo log, tour plan and timesheet export: 4–8 weeks. We recommend stepwise rollout — first put master data and QR check-in live, then add photo log, then tour optimization.
What sets you apart from Cleanwave, gebRA or Cleantastic? +
Three points. (1) Own domain, own data — customer and site DB sits in your system, not in a shared industry cloud. (2) Flat rate instead of per employee — the price doesn't grow with every new cleaner in the team. (3) Custom-built — if you have special workflows (special end-of-tenancy, winter on-call, your own timesheet template), we build it in instead of locking you into standard masks.
