Patrols, incidents, reports — fully documented.

Security services live and die by gap-free documentation. When the client asks „Did anyone really check at 02:15?", a QR scan with timestamp + GPS verification decides whether you keep the contract or lose it. On paper? Word against word. With AnvaCode: legally watertight proof in 0.5 sec.

We don't build a generic guard tool — we build it tailored to your security business. §34a competency tracking, DGUV-V49-compliant fire safety maintenance plans, insurance-grade incident docs, automatic PDF reports for clients. Servers in Germany (Hetzner Falkenstein, ISO 27001).

Typical problems

What costs security companies their contracts.

Four problems that nearly every guard service, fire-safety specialist and event security team knows — and for which proven solutions already exist.

Patrol docs on paper

„Was checkpoint 3 really patrolled at 02:15?" — you only have your guard's notebook. In a dispute: word against word. The client cancels. A QR scan with timestamp + GPS settles it in 0.5 sec.

Risk: contract loss + 4–6 figures

Incident via radio → forgotten

Guard reports broken glass via radio at 03:40 — you scribble a note, never get to write it up, forget it by morning. Insurance refuses to pay because docs are missing. App with photo + timestamp: evidence locked in instantly.

Risk: insurance denial

Billing 24/7 hours by hand

Night, Sunday and holiday bonuses all differ (statutory minimum wage + 25/50/125 % surcharges); with a mid-size team that's 6–10 hours of Excel typing per month — plus mistakes. DATEV export fixes this.

Losses: 6–10 hrs + typos / month

Writing client reports at night

After every shift or on weekends you have to compile the monthly report by hand or in Word. 2–4 hours per site. At 20 sites = a full working day per month. Auto-PDF from the logs saves 95 %.

Losses: 1–2 admin days / month

Recommended modules

These modules fit security businesses.

Most start with the shift/patrol plan + incident app. You can always add more — no data migration needed.

In action

Here's how it looks in daily security work.

Patrol app on site and incident docs at the office — both from the same system, in real-time sync.

Patrol app — guard scans QR at checkpoint, list with timestamp, GPS verification
At the checkpoint

Scan QR · timestamp · GPS · photo option

The guard reaches the checkpoint, opens the patrol app and scans the QR sticker at the checkpoint (e.g. entrance, storeroom, back yard). 0.5-sec scan → timestamp + GPS verification captured automatically. Anything unusual: photo option + note. Late check-in: automatic escalation alert to supervisor via SMS.

Incident documentation — photo, timestamp, category, description, automatic client report
At HQ / on the incident

Incident · photo · auto report · insurance-grade

Guard documents on the spot: photo of the broken window, pick a category („damage", „break-in", „person"), short description. The system adds timestamp + GPS + guard name. At month-end: automatic client report as PDF with all patrols, incidents and photo attachments — ready to send.

FAQ

What security businesses ask most often.

Does it pay off for my small security company too? +
Yes — purpose-built for small and mid-size security services. Whether you're a caretaker service doing a few patrols a month, run property protection with 10 guards or a 50+ security firm — the same setup scales with you. Instead of per-user licensing we work with a flat-rate model; price depends on feature scope. You don't pay for modules you don't need.
Do I need IT training or can my team use it right away? +
No IT degree required. The staff app on the phone is stripped to the essentials: scan QR, take photo, report incident. Backoffice users are productive after 1–2 hours of training, guards after 10 minutes. At kickoff we provide a short onboarding video plus one live training via screen share — after that questions usually come via email.
Does it work on the move on a smartphone? +
Fully mobile-ready — that's the main use case here. Guards work primarily via smartphone app: QR scan at checkpoints, photo docs on incidents, shift confirmation. Backoffice runs on PC or tablet. Available as web app in the browser or native app for iOS/Android. With poor reception the app works offline — sync happens automatically once you're back online.
How do my existing clients and staff get into the system? +
Excel import is standard. We bring in client lists, site addresses, staff master data and shift templates from Excel/CSV files and from exports of common predecessor software. For larger data sets we accompany the migration personally — check for duplicates, set up checkpoints per site cleanly.
How is my data protected? GDPR-compliant? +
Servers are in Germany — Hetzner Falkenstein, ISO 27001-certified, no US cloud. Connection encrypted with TLS 1.3, data at rest with AES-256. You get the DPA per Art. 28 GDPR with the setup as standard. Incident photos and patrol logs are access-restricted by client; sensitive fields can be additionally encrypted.
How does QR patrol logging work? +
QR stickers at the checkpoints — smartphone scans during patrol. Per site we attach small QR stickers at the agreed control points (entrance, back yard, basement, gate). On patrol the guard scans every point with the app; timestamp and GPS verification are captured automatically. The client sees in the portal gap-free: who was where when. Ends the classic „Did anyone actually check?" dispute.
How does photo-based incident docs work? +
On an incident: smartphone photo + short note directly from the app. The guard taps „Report incident", picks a category (e.g. break-in trace, door damage, suspicious person), takes 1–3 photos and adds 2–3 sentences. Photo and report land automatically in the client portal with timestamp and checkpoint. The client optionally gets an instant push notification.
How long does setup take? +
Base package live in 2–3 weeks (staff app + QR patrol + client portal). Full security package incl. incident docs, shift plan and time-sheet export: 4–8 weeks. We recommend the step-by-step rollout — first stabilise patrol logging and client portal, then add incident docs, then integrate shift planning.
What sets you apart from other industry tools? +
Three points. (1) Own domain, own data — client data, patrol logs and incident docs live in your system, not in a shared industry cloud. (2) Flat rate instead of per staffer — price doesn't grow with every new guard on the team. (3) Tailored — if you have specific workflows (own shift model, custom incident categories, your own client portal layout), we build them in instead of locking you into standard masks.
